Dashboard and Notifications

Setting up the "Pending Approval" widget and managing notifications for effective tracking of approval processes.

Dashboard Widget "Pending Approval"

You can add a widget to the main page showing your pending approvals.

Widget Setup

  1. Go to Home.
  2. Click ⋮ OptionsEdit Dashboard.
  3. Click + Add Dashlet.
  4. Select "Pending Approval".
  5. Set widget parameters.

Widget Parameters

Entity Type: - All - displays all record types pending approval - Specific - select only certain types (e.g., only Expenses)

Number of Displayed Records: - Set the limit of displayed items (5, 10, 20, ...) - Recommendation: 10-15 for clarity

Auto Refresh: - Turn on for automatic data updates - Refresh interval (e.g., every 5 minutes)

What the Widget Displays

The widget provides an overview of: - List of all records pending your approval - Number of pending requests - Request creation date - Who created the request - Quick actions (Approve/Reject)

Quick Actions from Widget

You can approve or reject directly from the widget:

  1. Hover over the record.
  2. Click an action (Approve/Reject).
  3. Add a comment (optional).
  4. Confirm.

Productivity

For quick processing, use quick actions directly from the dashboard. For detailed review, open the full record.

Notifications

The system informs you about important events in the approval process.

Notification Types

For Requesters

You will receive a notification when: - The record has been sent for approval - The record has been approved - The record has been rejected - The record has been returned for modification

For Approvers

You will receive a notification when: - A new request is pending approval - Reminder of an unapproved record - A request has been withdrawn

Notification Channels

Email Notifications: - Sent to your email - Contain a link to the record - Suitable for important alerts

System Notifications: - Appear in the notification center - Remain until you read them - Quick access to records

Reminders: - Automatic alert after a certain time - Suitable for meeting deadlines - Configurable interval

Notification Settings

To customize notifications:

  1. Go to ProfilePreferences.
  2. Notifications section.
  3. Enable/disable alerts by type:

Approved -
Rejected -
Reminder

Managing Notifications

Mark as Read: - Click on the notification to open - Automatically marks as read

Deleting Notifications: - Delete old or unnecessary notifications - Keep an organized overview

Filtering: - Filter by event type - Show only unread

Recommended Settings

For optimal awareness, we recommend turning on all notification types at least in the system. Turn on email notifications for critical events.

Daily Routine for Approvers

Morning Check

  1. Open the dashboard.
  2. Check the "Pending Approval" widget.
  3. Go through new notifications.
  4. Process urgent requests.

Ongoing Check

  • Check the dashboard 2-3 times a day.
  • React to notifications in time.
  • Do not block workflow with unnecessary waiting.

Afternoon Wrap-up

  • Go through all pending requests.
  • Approve or return for modification.
  • Leave comments for the next day.
