Usage: AI Parsing

The AI Parsing module works mostly in the background but offers an interface for checking and correcting extracted data before their final storage.

How It Works

  1. Document Reception:
    • Send an invoice by email to the address configured in the system (e.g., invoices@yourcompany.com).
    • Or manually upload a document to CRM.
  2. Analysis:
    • The system sends the document for analysis. An AI Parsing Record is created.
    • Record status changes: Draft -> Sent -> Received.
  3. Review and Approval (if full automation is not enabled):
    • Open the record in the AI Parsing list.
    • You will see a preview of the document and a form with extracted data (Supplier, Amounts, Dates, Items).
    • Check the data. If something is wrong, you can overwrite the values.
    • Click Apply or Create Invoice.
  4. Result:
    • A new document is created (e.g., Received Invoice).
    • The original AI Parsing record switches to Completed status.
    • The document (PDF) is attached to the newly created invoice.

Working with AI Parsing Record

The record detail is divided into two parts: * Left/Right: Preview of the original PDF file. * Left/Right: Extracted data.

Processing Statuses

  • 🟡 Draft/Sent: Waiting for processing by the external service.
  • 🟢 Parsed/Received: Data is ready for review.
  • Completed: Document was successfully created.
  • 🔴 Failed: An error occurred (see Error Description field).

Manual Triggering

If you have a document in CRM that was not processed automatically: 1. Open the Document or Email detail. 2. In the action menu (three dots at top right), select Extract Data (or similar option, depending on configuration). 3. Select the document type (e.g., Received Invoice).
